The Background

Our client is a private insurance broker based in a village on the outskirts of Warwick.  The business, formed in 2007, has a dedicated team of personnel with a wealth of expertise within the insurance profession, and deals with all types of diverse corporate risks.  The company required offsite secure document storage near Warwick for its archived paper records and as such contacted Box-it Central.

The Solution

The client was new to Box-it Central, so it was important to gain a thorough understanding of their records management needs, to recommend the most appropriate services to ensure we met all expectations.

We assigned our Business Account Executive (Marie Hardy) to support our client, helping them with any queries, and providing them with detailed information about our document storage near Warwick, as well as related services for document lifecycle management, which includes Omnidox Records Manager, Cataloguing and secure onsite/offsite destruction in Warwickshire.

Box-it Central’s document storage provides a very secure environment for physical archives.  Our document storage centres are humidity controlled, have smoke and intruder alarms, and the site has 24 hr CCTV with security barrier-access control.  Archive boxes are security strapped, barcoded and fully tracked. All our personnel are uniformed, carry photo ID cards, and are DBS screened (Disclosure and Barring Service).  We only use our own liveried vehicles equipped with GPS tracking.  Document storage services provided by Box-it Central are supported by Retrievals and Collections services, including Scan-on-Demand.

Physical archive content can be managed online using Omnidox Records Manager (ORM), a secure web based portal for placing orders and monitoring/tracking archives.  ORM also helps clients manage the lifecycle of their documents, supporting compliance and retention rules.  As documents come to the end of their lifecycle, we can (upon written instruction) securely destroy them using our confidential shredding service.  We also supply high quality archive boxes in a range of sizes, and offer professional cataloguing as an option.   Scanning is another useful service for clients looking to digitise their paper records, and we provide Cloud based electronic document management solutions within our Omnidox suite of products, hosted on secure servers in the UK.
